Qualification & Experiences
- Degree/diploma in Communications, Journalism, Management or a related field.
- Work experience is preferred
- Strong written and verbal communication skills
- Data Management skills
- Well versed with Google sheets, Google Docs, Gmail and Zoom
- Excellent vendor management skills
- Ability to manage multiple projects simultaneously and meet tight deadlines
- Proactiveness and sense of urgency is required
- Excellent organizing and coordination skills
Responsibilities
As The Admin Assistant, Incubation your responsibilities will include:
- Coordinating with vendors to ensure the timely booking of travel and accommodations for stakeholders, strictly adhering to the established SOPs.
- Communicating effectively with stakeholders in both written and verbal formats to deliver a seamless and impactful Incubation experience.
- Processing invoices promptly by diligently following the SOPs and finance guidelines provided.
- Maintaining accurate records of physical invoices related to Incubation expenses.
- Traveling with the team during monthly modules and leading on-ground logistics, including arrangements for travel, accommodations, meals, tech, and stationery.
- Negotiating with vendors to secure the best possible rates and value.
- Scheduling events on the calendar and ensuring stakeholders receive timely reminders and communication.
Admin Assistant, Incubation
Summary
The Admin Assistant, Incubation, will play a pivotal role in ensuring that various stakeholders, including entrepreneurs, facilitators, vendors, and coaches, have a smooth and effective experience in their engagements with the Incubation program. The Admin will collaborate closely with the Program Manager to ensure the high-quality execution of monthly modules, the timely processing of Incubation invoices, and the
coordination and booking of travel and accommodations. This role requires an individual with a strong sense of urgency and efficiency.
